Summary of Position:
CIEE is seeking a qualified professional to serve as the High School Operations Manager. The High School Operations Manager will be responsible for managing the day-to-day operations of the USA High School Operations team which includes the management of five Enrollment Coordinators and the completion of all duties associated with the USA High School application process. This role is responsible for maintaining agent relations, which includes, but is not limited to application management, invoicing, and SEVIS compliance. The person would also work closely with the High School Operations Director in a sales and customer service role ensuring needs of the clients are met and they have been appropriately trained on the specifics of the High School Program. The manager must be able to work effectively across program teams.
CIEE is a non-profit international exchange organization that was established in 1947. CIEE is designated by the U.S. Department of State as a sponsor of the Work & Travel USA program. The program was designed to enable international students to experience the U.S. first-hand while working in seasonal jobs.
Primary Responsibilities:
• Supervise and manage five Enrollment Coordinators -- establish and implement team goals, distribute workload, oversee staff performance and conduct annual performance reviews.
• Work with General Manager and Director to produce annual sales strategy.
• Ensure compliance with State Department and CSIET regulations, working closely with General Manager and Director to prepare State Department and other annual reports as requested.
• Work effectively across teams to ensure adherence to USAHS compliance rules and regulations.
• Manage the processing and issuance of DS 2019 visa forms and SEVIS Fee Receipts as per State Department regulations. ( will work closely with the SEVIS Compliance Team )
• Responsible for ensuring the SEVIS Compliance for all USA High School participants.
• Manage student application flow.
• Manage and oversee the receipt, review, and data entry of information in the database by Enrollment Coordinators.
• Manage of the quality of information stored in the CIEE databases on an ongoing basis.
• Oversea the structuring and management of filing and archiving systems.
• Handle the review and improvement of information flow through the Portland Office and the field staff.
• Oversee USAHS calendar of e-mailings including: Yearbook/Insurance/Community Project/Evaluations/Newsletter.
• Participate in the evaluation, review, and update of USA High School program policies and procedures.
• Assist with content planning and implementation of annual meetings including Annual Meeting, International Meeting, and Student Arrival Orientations.
• Manage staff responsible for tracking and reporting of student double placements, single person placements, and direct placements.
• Oversee insurance reporting ensuring early terminations and extensions are communicated to the insurance team.
• Other duties as assigned.
Knowledge & Skill Requirements:
• Bachelor's Degree.
• 3 to 5 years of direct team management experience
• Experience in Operations.
• Excellent written communication skills.
• Strong customer service skills.
• Excellent organizational skills with attention to detail.
• International travel or study experience recommended.
